Terms & Conditions
1) Booking & Date Reservation
Your date is officially reserved once you have received our written confirmation and the retainer of €800 has been paid.
By paying the retainer, you accept these Terms & Conditions.
The retainer is a date reservation & planning fee and is non-refundable, where legally permitted.
2) Services
Coverage (hours, deliverables, optional second shooter, travel/accommodation) as agreed in your quote/booking confirmation.
Image selection and editing follow our signature style (portfolio). RAW files are not delivered.
3) Timeline & Cooperation
You (or your planner) provide a realistic timeline, addresses, and a point of contact.
We work in a documentary, discreet way; however delays, venue/official rules, or circumstances beyond control may impact what can be captured.
Venue/official restrictions (e.g., no flash, limited movement) take priority and do not constitute a defect.
4) Meals, Breaks & Seating
For coverage of more than 5 hours, you provide one hot meal and non-alcoholic drinks per photographer.
Please plan a seat at or near the reception/dinner area (vendor meal is perfectly fine).
Short breaks may be taken at an appropriate time in coordination with the planner/you, without missing key moments.
5) Travel, Accommodation & Permits (Destination Weddings)
Travel/accommodation is [included / billed separately] as stated in the quote.
Any required permits/fees (venue, ceremony site, photography permits) are your responsibility unless agreed otherwise.
If arrival the day before or a late finish is required, you provide suitable accommodation nearby.
6) Overtime
Additional coverage is possible subject to availability and is billed at [rate] per started hour.
Overtime is payable [on the day / within X days / before delivery].
7) Payment
Retainer: €800 to reserve the date.
The remaining balance (total fee minus payments made) is due 30 days before the Event.
Delivery is provided after full payment has been received.
8) Delivery
Online gallery delivery within [X] weeks after the Event (season-dependent), unless agreed otherwise.
Final images are curated; outtakes (tests/duplicates/misfocus) are removed.
9) Rescheduling, Cancellation & Exceptional Circumstances
Rescheduling
If your date changes, we’ll do our best to accommodate the new date. One reschedule is possible, subject to our availability.
Any already incurred and non-refundable travel/accommodation costs are reimbursed based on receipts.
Cancellation
Cancellation can be made at any time in writing (email is sufficient).
As we reserve your date exclusively and decline other enquiries, the €800 retainer remains retained as a reservation & planning fee, where legally permitted.
In addition, a cancellation fee may apply depending on timing, reflecting planning efforts and the likelihood of re-booking (based on the total fee):
more than 90 days before: no additional fee (retainer only)
89–60 days before: 25% of the total fee
59–30 days before: 50% of the total fee
29–14 days before: 70% of the total fee
less than 14 days before: 90% of the total fee
Any payments already made (including the retainer) are credited toward the cancellation fee.
Any non-refundable travel/accommodation already booked (flights/hotels/car rental) is reimbursed based on receipts.
You may prove that our actual loss was lower.
If we are able to rebook your date despite the cancellation, we will fairly credit the amount received for the replacement booking, minus any costs already incurred.
Exceptional circumstances (force majeure)
In events outside our control (e.g., government restrictions, border closures, natural events), both parties will aim for a fair, practical solution (reschedule and/or adjust scope). Already incurred, non-refundable costs remain payable.
10) Photographer Illness / Emergency & Replacement
In case of serious illness/emergency, we will make reasonable efforts to find a suitable replacement (no guarantee).
If no replacement is available, payments for unperformed services will be refunded; further claims are excluded where legally permitted.
11) Usage Rights & Publication (Opt-in within these Terms)
Client usage rights
You receive usage rights for personal use (printing, sharing with friends/family, social media).
Commercial use (vendors, publications, advertising) requires written permission.
